Privacy Policy

This policy covers the VirtualCallboard and StageStock apps, the websites at virtualcallboard.com, stagestock.com and theemptyspace.com, and the sites we run for theatre companies and schools. All of it is operated by EmptySpace Technology LLC.

If anything here is unclear, write to us at support@theemptyspace.com. We would rather explain it than have you guess.

The short version

  • We sell software to theatre companies, not advertising. We have never sold anyone’s personal information and we do not share it with advertisers.
  • Most of what is in the app was put there by your company — your name, your calls, your photo — and it belongs to your company, not to us.
  • The app does not track your location, read your contacts, or use an advertising identifier.
  • It does send crash reports and basic usage counts so we can fix what breaks.
  • You can ask us for a copy of your information, ask us to correct it, or ask us to delete it. How to do that is at the bottom.

Two kinds of information, and who they belong to

Your company’s callboard. When a theatre company, school or venue signs up, we set up a site for them. Everything on it — the schedule, the people, the notes, the reports, the files, the inventory — is theirs. They decide who is on it, what goes in it and who can see it. We hold it on their behalf and we do not use it for anything of our own. If you are a cast or crew member, your company put you there, and your company can answer questions about why.

Information about you and your device. Some things come from using the app itself rather than from your company: your sign-in, the notifications you agreed to receive, crash reports when something goes wrong. That part is ours to explain, and this policy explains it.

What is in your company’s callboard

Whatever they choose to keep there. In practice that is:

  • Your name, and a stage name if you use one.
  • Your email address, and a phone number if one was entered.
  • A postal address and an emergency contact, if your company asks for those.
  • A profile photo, if you upload one.
  • The productions you are on, your role, and what you are called to.
  • Notes, announcements and reports written by you or sent to you.
  • Files your company shares — scripts, plots, schedules.
  • For StageStock, the items your company owns, their photos, where they are stored and which show has them.

You can see and change most of this yourself on your profile. Your company’s administrator can change all of it.

What the app collects on its own

  • A notification token. If you allow notifications, your phone gives us an anonymous token so we can send them. It identifies the phone, not you.
  • Crash and error reports. When the app hits a problem it sends us a report through a service called Sentry. It includes what went wrong, which screen you were on, your device model, your operating system version and the app version. It is diagnostic information — it is not a copy of your callboard.
  • Basic usage counts. We count things like the app being opened, a sign-in, and which main screens get used, through Google’s Firebase Analytics. We use it to see which parts of the app matter and which are ignored. It is counts, not a record of what you read.
  • Ordinary server records. Like any website, our servers log the requests they receive, including the internet address they came from.

What the app does not collect: your location, your contacts, your calendar outside the app, your photos other than the one you choose, or any advertising identifier. There are no adverts in either app.

Your camera and your photos

The app asks for the camera only when you tap Camera to take a profile picture, and for your photo library only when you tap Gallery to choose one. Only the single photo you pick is read. Nothing else in your library is looked at, and the app never saves anything to it. In StageStock the same applies to photographs of inventory items.

Notifications: push, email and text messages

When a call is added, changed or cancelled, when a note is sent, or when an announcement is posted, the people affected are told. That can reach you three ways:

  • A notification on your phone, sent through Apple’s and Google’s notification services.
  • An email, sent from our own mail server.
  • A text message, sent through a company called Twilio.

You control the first two in the app, under Profile → Notifications. For text messages, reply STOP to any message and we will stop sending them. Your company decides which of these it uses in the first place.

Our websites

Our public websites use cookies to keep you signed in and to remember basic preferences. They also use Google Analytics to count visits and New Relic to tell us when a page is slow or broken. You can block cookies in your browser; the sites will still work, but you will have to sign in more often.

Paying us

If your company pays us by card, the payment is handled by Stripe. Card details go to Stripe, not to us — we can see the card brand, the last four digits and the expiry date, which is what we show on your invoices.

Who else handles this information

We keep this list short on purpose. Each of these does one job for us, and none of them may use your information for anything else:

We may also share information if the law requires it, or to protect someone’s safety. If our business is ever sold, information would move with it, and we would tell you before that happened.

How long we keep things

We keep your company’s callboard for as long as they are our customer. When a company leaves, we delete their site and its files upon request, apart from copies in our backups, which are deleted upon request.

Crash reports are deleted after 90 days. Usage counts are kept in aggregate and are not tied to you.

Seeing, correcting and deleting your information

  • Seeing and correcting: most of it is on your profile in the app. For anything else, ask your company’s administrator, or write to us.
  • Deleting your account: your company’s administrator can remove you from the callboard. You can also write to support@theemptyspace.com with the email address you sign in with and ask us to delete your account. We will do it within 30 days and confirm when it is done.
  • One thing to know: if you were on a call sheet or wrote a rehearsal report, your company’s own records may still show that work happened. That history belongs to them. We will remove your account and your personal details.

Wherever you live, you can ask us for a copy of what we hold about you, ask us to correct it, ask us to delete it, or object to how we use it. If you are in Europe or the UK, or in California, you have those rights in law, and we apply them to everyone rather than keeping two sets of rules. We will not treat you differently for asking. We do not sell personal information, and we do not share it for advertising.

Children

These are tools for the people who run productions, and accounts are created by the company or school, not by individuals. The apps are not directed at children under 13, and we do not knowingly collect their information directly. Schools and youth theatres do use our software, and where a young person appears on a callboard, it is the school or company that decides what is entered and is responsible for any permission needed from a parent or guardian. If you believe a child’s information is on our system and should not be, write to us and we will remove it.

Keeping it safe

Information travels between your device and our servers over an encrypted connection. Access to our systems is limited to the people who need it to do their jobs. No system is perfect, and we will not pretend otherwise — if something happens that affects your information, we will tell you and the company whose callboard it is.

Changes to this policy

If we change it, we will change the date at the top, and for anything significant we will say so in the app or by email. The previous version is available on request.
